Restaurant phones ring hardest exactly when nobody can pick up: in the middle of lunch and dinner service. Most calls are about reservations, hours, the menu or takeout, and an AI can handle those if it's connected to your reservation book or point-of-sale system. This guide compares restaurant-specific AI hosts with general AI receptionists, and covers the new wave of AI agents calling to book tables.

What diners do when you don't answer

A Harris Poll of 2,065 US adults, run for the restaurant AI company Hostie in May and June 2025 (Hospitality Technology):

  • 63% said calling is their preferred way to contact a restaurant.
  • 69% said they'd likely give up on a restaurant if their calls went unanswered; 72% of millennials said so.
  • 20% said their calls are always or often ignored.
  • 89% said they'd be open to using an AI agent for restaurant tasks, from 95% of Gen Z to 80% of baby boomers.
  • The tasks they'd hand to AI: reservations (47%), order tracking and wait times (42%), special offers (39%), and pickup or delivery orders (38%).

What callers want, and when they call

Maple, which sells voice AI to restaurants, analyzed 1.2 million calls to more than 1,000 restaurant and local-business locations between December 2023 and November 2025 (Maple). It's vendor data, but it's the largest public breakdown we found:

Timing matters as much: 68% of calls arrive during lunch (11 a.m. to 2 p.m.) and dinner (5 to 9 p.m.), with dinner alone accounting for 40%, and restaurants missed 33% of calls during peak service before using Maple's system. That's the case for AI in one line: it answers during the rush, when your host is seating a party of eight.

Set-up checklist for a restaurant AI host

  • Peak overflow first. Forward calls when your host doesn't pick up within a few rings, so regulars still reach a person when there's time.
  • Reservations: connected to your book, or the AI texts your booking link. Never a separate list your host can't see.
  • Large parties and events go to a manager with the date, head count and budget.
  • Orders: only with a POS integration; otherwise text your online-ordering link.
  • Allergies: the AI gives your published allergen information and tells guests to confirm with staff. It never guesses.
  • Hours, holidays and specials updated in one place the AI reads.
  • Deposits and no-show rules stated the same way every time.

AI agents booking tables

Many of the new AI assistants' first jobs involve restaurants. Google's automated calls check restaurant wait times (Google); Google's Gemini test makes restaurant reservations by phone (TechCrunch); and since mid-September 2026 Meta's Muse and the startup Instinct phone restaurants for their users, including ones without online booking (TechCrunch).

It's already messy online. CNN reported that Instinct pinged Resy hundreds of times an hour looking for tables, that some agents made bookings their users hadn't approved (one led to $200 in cancellation fees), and that Resy doesn't allow unapproved bots and banned some accounts (CNN via KVIA). Agents also phone restaurants that don't take online bookings. Your phone policy for them:

  1. Take the guest's real name and mobile number, not the assistant's.
  2. Confirm by text to the guest, and ask them to reply to confirm.
  3. Apply the same deposit and no-show rules as any booking.
  4. Don't take card numbers from an assistant by voice; send the guest a secure payment link if you need a deposit.

What it costs

Restaurant-specific AI hosts (Slang, Loman) don't publish prices; ask for per-location quotes and whether ordering or reservations cost extra. General AI receptionists publish theirs (see our comparison of the best AI answering services): at 100 two-minute calls a month, Rosie costs $49 and Upfirst $69.95.   1. A booking for four on Friday at 7:30 p.m. Check it appears in your reservation book.
  2. A change to an existing reservation.
  3. "Are you open on Thanksgiving?"
  4. "Is the risotto gluten-free?" It should give your published information and suggest confirming with staff.

What is the best AI phone answering system for restaurants?

Can AI take phone orders for my restaurant?

What happens when an AI assistant calls to book a table?

Treat it as a booking request for a real guest: take the guest's own name and mobile number, confirm by text to the guest, and apply your usual deposit and no-show rules.

Is there a free answering service for restaurants?

Not a practical one. Smith.ai's free AI plan covers 25 calls a month, and Quo includes 10 AI-answered calls with its phone plan. Most restaurant tools offer demos or trials instead.

Can an AI receptionist answer allergy questions?

Only with your published allergen information, and it should always tell guests to confirm with staff. Don't let it improvise answers about ingredients.

Should the AI take credit cards for deposits?

Only through a secure payment feature built for it, such as Loman's phone payments. Otherwise text the guest a secure payment link, and never take card numbers from an AI assistant by voice.
