A property manager's phone carries three kinds of call: a tenant with a leak, a prospect who wants to see a unit, and everything else. The first one can't wait, the second one won't, and the third one can. An answering service, AI or live, should answer every call, tell a burst pipe from a dripping faucet using your rules, get your on-call technician on the line when it matters, and book the showing before the prospect calls the next listing.

Why property management calls go unanswered

  • Leasing offices miss calls. In EliseAI's mystery shop of more than 10,000 calls to US leasing offices, 70% were answered on average and 7% of missed calls were returned (EliseAI, January 2025). On Nurture Boss's platform, 52.93% of 20,506 rated calls to multifamily leasing offices went unanswered (Nurture Boss, 2026).
  • Prospects come after hours. In AppFolio customer stories, 55% of Bluestone's 9,865 leasing leads from February to July 2026 arrived after hours (AppFolio), and about 35% at Hampton Management's Bay Area portfolio (AppFolio).
  • Many "emergencies" can wait. HappyCo answers more than 12,000 after-hours emergency calls a month and says over 40% can wait until the next business day (HappyCo, February 2026).
  • Tenants expect a quick answer. In Buildium's survey of 1,500 US renters in spring 2026, 84% expected a reply within 24 hours, and renters satisfied with maintenance were 57% more likely to plan to renew (Buildium 2026 Renters Report).

EliseAI and Nurture Boss sell leasing AI, HappyCo sells maintenance services, and AppFolio and Buildium sell property management software; the figures come from their own customers and surveys.

Write your emergency rules first

Every service on this page, AI or live, follows your definitions. Write them down before the trial, in the words you'd use with a new maintenance coordinator. Buildium suggests three tiers (Buildium, June 2026):

  • Emergency: an immediate threat to safety or habitability; respond within an hour.
  • Urgent: it will get worse if left; respond within 24 hours.
  • Routine: normal turnaround.
Decision diagram for a tenant's maintenance call: an immediate threat to safety or habitability is an emergency (reach the on-call technician, respond within an hour), a problem that will get worse if left is urgent (respond within 24 hours), and anything else is a routine work order for normal turnaround.
Three tiers suggested by Buildium (June 2026): emergency (respond within an hour), urgent (within 24 hours) and routine.

Buildium's own list of emergencies includes no heat in cold weather or no air conditioning in extreme heat, major leaks, burst pipes and sewer backups, a complete loss of power after checking with the utility, a gas leak or gas smell, broken exterior locks, doors or windows, fire or smoke after residents have called 911, and structural damage. A single clogged toilet when another works, a minor faucet leak, an appliance failure without other damage, a burned-out bulb and most noise complaints can wait (Buildium, November 2025).

Lockouts are where the sources disagree. Buildium lists being locked out as not an emergency, while several answering services treat lockouts as emergency dispatches. Decide your own rule (hours, fee, who goes) and give it to the service in writing. If you manage Housing Choice Voucher units, HUD's inspection standard adds a clock of its own: "Life-Threatening Deficiencies require correction within 24 hours of notification" (HUD, NSPIRE-V).

What an answering service must handle for a property manager

CallWhat should happen
Burst pipe, active leak, sewage backupShut-off steps if it's safe, then a live transfer to the on-call technician with the unit, the issue and access instructions; keep calling until someone confirms.
Gas smell, smoke, carbon monoxide alarmTell the caller to leave and call 911 or the gas company from outside, then alert the on-call manager.
No heat or no air conditioningEmergency or urgent by your temperature rule; book the soonest visit either way.
LockoutYour written lockout rule: hours, fee, who goes.
Dripping faucet, running toilet, dead outletA work order for the morning and a clear time the tenant can expect contact.
Prospect asking about a unitThe same facts to every caller from your current listings (rent, availability, pets, application steps), then book the showing.
Accessibility or accommodation questionAnswered as promptly and fully as any other question; passed to a person the same day.
Rent, portal or lease questionStandard answers and the portal link; no account details over the phone.
Vendor or contractorA message to the maintenance coordinator, not the tenant script.

AI receptionists with a property management setup

Live answering services for property managers

Your software's own call center

If you already pay for AppFolio, Buildium or Rent Manager, ask about theirs before you add a separate service: the call lands in the same system as the work order.

  • Buildium Maintenance Contact Center: live agents 24/7/365, including holidays, decide whether a call is an emergency and can create tasks and dispatch vendors in Buildium. $1.10 per unit a month for every maintenance call, or $0.70 per unit for calls you miss in office hours plus all after-hours calls (with a one-time $300 setup), from a $140 monthly minimum (Buildium). At 300 units that is $330 or $210 a month.
  • Rent Manager Call Center: live agents answer and escalate by your protocols, create service tickets in your Rent Manager database, start the leasing process and record every call; the price comes in Rent Manager's bundles rather than on the page (Rent Manager).
  • AppFolio: its Realm-X Receptionist and Leasing Performers answer calls, and the Maintenance Performer prioritizes emergencies and walks residents through fixes such as shutting off water (AppFolio, September 2026, AppFolio). They are sold as add-ons with no published price (AppFolio pricing).
  • Maintenance triage specialists such as HappyCo's Happy Force (remote technicians), Latchel (AI and human, with weather checks before dispatch) and Property Meld MAX On-Call (AI triage on your criteria) work for larger portfolios; none publishes a price.

What it costs at 100 and 300 calls a month

A small manager's line might take 100 calls a month; a few hundred units, 300 or more. At two minutes a call, the AI receptionists cost a fraction of the live services, and Answering Service Care's AI plans sit in between ($160 at 100 calls, against $329 for its live plans):

Leasing calls and fair housing

A summary, not legal advice. An AI or an answering service that talks to prospects speaks for you. Under the federal fair housing rules a person "is vicariously liable for a discriminatory housing practice by the person's agent or employee," the rules apply to "all written or oral notices or statements," and it is unlawful "to provide inaccurate or untrue information about the availability of dwellings" (24 CFR Part 100). HUD withdrew its 2024 guidance on digital housing advertising in April 2026, and said in the same notice: "Any actions that do not comply with the text of the Fair Housing Act continue to be subject to enforcement by the Department" (HUD, Federal Register, April 2026).

  • Give every caller the same facts from the same listing data, and keep availability in sync with your software.
  • Disability was the basis of 54.59% of the 32,321 fair housing complaints filed in 2024 (National Fair Housing Alliance, 2025). Questions about accessibility or assistance animals should get the same prompt answer and booking as any other, then go to a person.
  • Don't let the script comment on neighborhoods, schools or who lives there; have it point to facts about the unit.
  • Ask your lawyer to review the leasing script before it goes live.

Test plan for the trial

  1. 2 a.m., burst pipe in unit 4B. Did it give shut-off steps, reach your on-call number, and keep trying until someone confirmed?
  2. 11 p.m., locked out. Did it follow your lockout rule and quote the right fee?
  3. 9 p.m., dripping faucet. Did it log a work order for the morning instead of waking you?
  4. Prospect: a two-bedroom, with a dog, moving next month. Were the rent, availability and pet policy right, and was a showing booked?
  5. Prospect asks whether a unit is wheelchair accessible. Was the answer as prompt and complete as in call 4?

Then read the transcripts and the work orders in your software. Fix the rules, and repeat the test before your first cold night.

Questions managers ask

What does a property management answering service do?

It answers tenant and prospect calls when your office can't: it takes maintenance requests with the unit and the issue, follows your rules to reach the on-call technician for true emergencies, logs routine requests for the morning, answers leasing questions from your listings and books showings. AI services do it for a monthly fee by the call or the minute; live services charge by the minute.

How much does a property management answering service cost?

At 100 two-minute calls a month, the AI receptionists on this page cost $69.95 to $212.50 and the live services $276.50 to $349; Buildium's own contact center costs $0.70 or $1.10 per unit a month, from $140. Prices from each vendor's pricing page, read 21 October 2026 (AI receptionists checked 21 October 2026).

Can an AI receptionist handle maintenance emergencies?

Yes, if you give it written emergency rules and an on-call number. Dialzara, Upfirst, My AI Front Desk and Smith.ai describe emergency routing on their property management pages; Quo's page refers emergencies to 911 and describes no transfer to your on-call person. Test it with a 2 a.m. burst-pipe call before you rely on it.

Is a lockout an emergency?

It's your call. Buildium lists being locked out as not an emergency, while several answering services treat lockouts as emergency dispatches. Write a rule with hours, a fee and who goes, and give it to the service.

Do answering services work with AppFolio, Buildium or Yardi?

Some do. Smith.ai names AppFolio, Buildium and Yardi; Dialzara sends structured requests for all three; My AI Front Desk connects to AppFolio through its API, which needs AppFolio Plus or Max. Buildium, Rent Manager and AppFolio also offer their own call centers or AI that work inside their software.

Does fair housing law apply when an AI answers leasing calls?

Yes. The federal rules make a housing provider liable for what its agents say, and they cover spoken statements. Give every caller the same facts, answer accessibility questions as promptly as any other, and have a lawyer review the script. This is general information, not legal advice.
